This policy explains how Top Notch Home Inspections LLC ("Top Notch", "we", "us"), a Hawaii company, handles information in the Top Notch Command Center, the system our staff, clients and real estate agents use to schedule and manage home inspections.
What we collect
- Client and agent details: names, phone numbers, email addresses and notes needed to schedule and communicate about an inspection.
- Property details: address, size, year built, access instructions and similar facts about the home being inspected.
- Payments: payments are processed by Stripe. We see the amount and status of a payment, but card numbers go directly to Stripe and are not stored by us.
- Inspection reports: the findings, notes and photos our inspectors record during an inspection.
- Staff accounts: team member names, contact details, schedules and sign-in information.
How we use it
We use this information only to schedule and perform inspections, deliver reports, take payment, and communicate with clients, agents and staff about their inspections.
Google user data
When a team member chooses to connect their Google Calendar:
- We use it only to create, update and remove that person's inspection events on the calendar they choose, and to read their busy times so we don't double book them.
- We never sell Google data, never use it for advertising, and never share it except as needed to run this service.
- Google access tokens are stored encrypted on our servers and are deleted when the team member clicks Disconnect.
- Anyone can revoke our access at any time from their Google Account settings (Security > Third-party apps with account access).
Top Notch Command Center's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Sharing
We do not sell personal information. We share it only with the people involved in an inspection (for example the client and their agent), with service providers that help us run the system (such as hosting, email and Stripe), or when required by law.
Security and retention
Information is stored with access limited to authorized staff. We keep records as long as needed for our business and legal obligations, then delete them.
